EXHIBITION GUIDELINES

The 19th ISTRC Exhibition booths provide an excellent and effective opportunity for Researchers and Research Institutions and other value chain players to promote their products and services to the Symposium participants.

Exhibition Categories, Charges, and space allocations

The number of exhibition booths available are limited in the following categories and costs and allocation of space will be done on a “first-come, first-served” basis.

Exhibition spaces are available at the following rates:

  • 3m x 3m Exhibition Booth: USD 700
  • 6m X 6m Exhibition Booth: USD 1,500
  • 12m X 12m Exhibition Booth: USD 3,000

Booths Constructions

Equipment
  • Shell scheme panels
  • One table, two chairs
  • Fascia header with Company Name
  • 1 Electrical connection with socket

The dimensions of the Exhibition Booth have been specified at the ‘Exhibition Categories’ above, and the height of the Exhibition Booth for all the categories shall be 2.5m.

Exhibitors are responsible for the cost and execution of the design, installation, and delivery of their display to (and its removal from) the exhibition site. Flammable materials are not to be used. Equipment displayed or demonstrated must be installed with strict adherence to safety measures.

All exhibits are to be displayed without blocking aisles, obstructing adjoining booths, damaging the premises or the leased equipment. Exhibitors are kindly requested to allow sufficient see-through areas, which ensure clear views of surrounding exhibits.

 

Set up /Dismantling Timelines

Please note that the booths will only be accessible by exhibitors on 20 November 2022, a day prior to the start of the Symposium. Note that during the official opening of the Symposium on 21 November 2022, the booths will be closed from 0800 – 1100hrs for the opening ceremony. Also note that the booths will be dismantled by the supplier on the last day (25 November 2022) at 1700hrs. Please ensure that you remove your equipment/materials, advertisements, etc. by this time.

Access to the exhibition is authorized on presentation of a badge issued by the Organizer. Exhibitors’ badges will not be mailed in advance but will be issued at the registration desk at the start of the Exhibition.

Exhibitors undertake to observe the timetable designated for completion of their display before the exhibition opening and its dismantling at the close of the exhibition. There will be no dismantling or packing of the display before the designated hour. It is the Exhibitor’s responsibility to pack and remove or consign for shipment all items of value prior to leaving their exhibit unattended, otherwise, the Organizer will arrange for their removal at the exhibitor’s risk and expenses.

Promotional Activities

Promotional activities are only allowed within the exhibition area and only as long as they do not interfere with the running of the Symposium nor disturb fellow exhibitors. Any kind of walking advertisement throughout the exhibition area and Symposium venue is strictly forbidden.

Sound Restrictions

Sound, electrical and other mechanical appliances must be muffled so that no noise disturbance is caused to other exhibitors. The Exhibition Organizers reserve the right to determine at what point sound activities have to be reduced and if they must be stopped.

House Rules

All exhibitors will be required to adhere fully to guidelines governing conduct and participation in the symposium. Exhibitors shall not be allowed to share with others any space allotted to them without prior written consent by the Exhibition Coordinator.

The rules of the Symposium venue do apply and shall be binding to all exhibitors. Symposium Venue technical staff must be allowed access to your stands at all times to ensure adherence to the rules. Smoking is prohibited in the exhibition area.

Damages / Safety / Insurance

Exhibitors are entirely liable for damages to third parties’ stands, properties, and health (be it injury or death). To this extent the Organizer, their respective staff, and service providers as well as the Symposium Venue are to be considered third parties. Exhibitors’ liabilities are extended to their personnel and/or other people working under their control. Since neither the Organizer and their staff nor the Symposium Venue is liable for any damages and/ or loss suffered by the exhibitors during the exhibition, including installation and dismantling, it is strongly recommended to arrange insurance accordingly.

Advertising

Advertising is permitted only on the stand space (aisles excluded). Displays of printed materials or advertising outside this area but on the premises of the Symposium are not allowed. No flyers, posters, handouts, etc. can be left on tables, in conference hotels, on buses, etc. unless the organizers explicitly agree to it. In addition, sponsors/exhibitors must comply with all applicable national and international rules and regulations related to advertising and promotion of all products and services as part of their stand. The Organizer will bear no responsibility for non-compliance by the sponsor/exhibitor.

Disposal and Waste

It is the responsibility of the sponsor/exhibitor to ensure that all waste material from stand construction (including boxes for packaging) is completely removed from the exhibition area prior to the opening of the exhibition and at the end of the Symposium. Waste cleared by the Organizer will be charged to the sponsor/exhibitor. The Organizer will ensure daily cleaning of the aisles. Exhibitors /supporters are responsible for the cleaning of their stands.

Please note that signing of the EXHIBITION REGISTRATION & BOOKING FORM indicates acceptance of these Terms & Conditions. The Exhibition Registration & Booking Form will be held as a valid liable contract, by which both parties will be bound.
